April 2008 Minutes

Gay Kimball Library

Board of Trustees Meeting

April 4, 2008

Present: Jan Jones, Beth Richardson, Kathy Marrotte, Catherine Callegari

The board voted to approve the minutes from the prior meeting.

Treasurer's Report: Jan reports that there is currently $8,656 in the library account. The memorial fund has a balance of $5, which does not include a $50 donations made in the name of Barbara Daniels from VT.  Jan has installed Quicken 2008 on the library computer. Beth and Jan will meet prior to May to go over the transition between treasurers. Catherine stated that just because the library is using Quicken doesn't mean that we need to continue doing so and we can explore other options at a later date.

Librarian's Report:  1,414 patrons visited the library in March, up from 1,007 in 2007. There were 9 new patrons, and the computers were used 174 times, which is also up from 146 in 2007. 44 audio books were downloaded in March and Tumblebooks were only viewed 1 time. We discussed the Tumblebooks, as the subscription is about to expire, and decided not to renew it. There doesn't seem to be enough interest. Jan mentioned that she didn't feel that they added new books on a regular enough basis to make it worth her while to keep going back and reading more.  2,657 items circulated out of the library in March, up from 1,864 in 2007. We discussed what might be contributing to this, and Catherine mentioned that DVD use is way up over last year.

Old Business:

Jan Jones: Jan is moving to Massachusetts at the end of April. She will be turning in her resignation to Catherine and the select board. After some discussion the board has decided to ask Barbara Whittman to step in and fill Jan's spot. She will take over as the secretary, and Beth will move to be the treasurer. Barb will have to be appointed by the select board, and if she decided to stay on, she would need to run for election in the spring of next year.

DVD Policy: As requested by a patron, Catherine has posted the Libraries DVD policy at the library, on the library website and in the Troy Town News.

Craig Brandon Program:  Craig Brandon, the author of Monadnock- More than a Mountain, will host a book event at the library on Wednesday April 16th at 7:00pm. He will have copies of his book available to purchase and for singing. The Historical Society will cover half the expense, and will reimburse the library $75. The Planning Board is planning on attending and will discuss Troy Conservation after Craig is finished speaking.

New Business:

Book Sale: The spring book sale will be held on May 23rd and 24th. We will discuss this further at the May meeting.

New at the Library: The library has new library cards. Catherine added the libraries website to the bottom of the new cards and they are the same color as the old cards. Catherine purchased an electronic people counter for the library doors. A sensor on each side of the doors registers when someone walks through and can be reset at the beginning of each day. The counter cost $379 and has been installed for about 3 weeks now.

Misc. stuff: Harold will look at the downstairs issue where the leak was sometime in the next 2 weeks. The DVD player and VCR in the meeting room are both broken. The DVD player has a DVD stuck in it that won't eject, nor play. It just spins and spins. The VCR has audio but no video. Beth will ask Neal to look at both of them, and if they can't be repaired than we will look into replacing them both. Catherine asked Beth to let Neal know that the sound on the computer is working and he doesn't need to come in and have a look at it. Catherine will talk to Cindy about the long distance phone bill. In 2007 we had barely any money spent in long distance calls, and dropped our budgeted amount down to $50 from $75. As of today, the library has already used $23 of the budgeted money.

Public Comments:  There was no public available to comment.

The next meeting will be held on Thursday May 8th at 7:00pm.
