Gay-Kimball Library

Board of Trustees Meeting

September 4, 2008

Present: Beth Richardson, Kathy Marrotte, Catherine Callegari

The minutes from the previous meeting were read and approved.

Treasurer's Report: Beth reported that there is officially $4,733 in the checking account. Catherine noted that there are some purchases that have been made and that number is about $1,000 lower. The request for the appropriation from the town has been drafted and signed and will be faxed over to the town hall. Beth will be in to pay bills this weekend.

Librarian's Report:  The door count was 1,467, up from 1,261 last year. 19 new patrons signed up at the library. The computers were used 234 times, up from 273 times last year and 2,921 items circulated out of the library which is up from 1,868 last year.

 Old Business:

1.      Pictures:  Indian King Framers donated new mats and frames for the old town library photos and dedication certificate. They look fantastic and we are grateful.

2.      Building Maintenance:  After some discussion it was decided that we will have the vinyl siding washed every other year and put it into the budget. Also it was determined that we will most likely have to have the railings repainted every year and this will be added to the budget also. There is an issue with the toilets and Catherine has contacted a plumber.

 New Business:

1.      Fall Book Sale: the book sale will be held Friday October 10th and Saturday October 11th.

2.      Filing Cabinet:  The filing cabinet key is missing, along with the magnetic holder that held it into its location. It's been gone since mid-August. On that same day, stuffed animals and summer reading prizes had also been moved and possibly taken. Catherine has informed Angela that she is not allowed to bring the kids with her when she cleans the library anymore. We discussed replacing the file cabinet and other locking possibilities and will explore our options.

3.      Budget: We have approximately 37% of our yearly budget left. Catherine will attend a NH Library Trustees Association budget workshop on September 27th from 9-3:30. The cost will be $20.

4.      Picturing America: The Picturing America supplies have arrived. We received these items for free. It includes a teacher's guide, and 20 double sided large prints of photos and prints. Catherine will ask Lynn Smith to come in and help her find a way to hang them. Beth will distribute a notice to the teacher's at the Troy School. The same association also does a grouping of 15 books that goes along with the photos. Catherine will apply for the grant to receive them.

5.      Public Comments: Speaking on behalf of the Historical Society, Kathy asked if the Old Home Days Committee could hold their meetings at the library. Permission was granted.

The next meeting will be held on Thursday October 2nd at 7:00pm.
