Board of Trustees Meeting Minutes

May 5, 2010

 Members Present: Kathy Marrotte, Beth Richardson, Evan John; Catherine Callegari, Librarian

 The trustees hosted Norm Dion and Ed Oakes of the GK Library Trustees of the Trust Funds (Don Upton could not attend) to discuss the funds' performance over the last year, their investment strategy, the expendable trust and the late arrival of the trust fund interest check this year.

 Catherine noted that the distribution was about 4 weeks late this year. Ed will talk to Michael Lynn of Bank of America, who is the investment professional licensed to manage the account, to find out what happened. The Trustees noted that to access the expendable trust funds after the Trustees & Select board approve the Trustees of the Trust Funds are needed to release the money.  A warrant article at next year's town meeting to put money back into this account would be a good idea. Catherine informed the Trustees about the upcoming informational session with Terry Knowles, attorney/consultant to the NHLTA on June 22 at 5pm in the library. She'll discuss library law and cemetery trust fund law with the Selectmen, Library Trustees and the interested public.

 After Ed and Norm left, the Trustees approved the minutes from the last meeting.

 Treasurer's Report: Checking: $10,218.00; Fines: $494.00; Memorial Fund: $35.00; Petty Cash: $271.00. Total: $11,018.00.

 Librarian's Report: Door Count: 1216 (1570); Circulation: 1667 (2225); Computer Usage: 172 (262); New Patrons 10. Nicer weather this year may have caused the lower counts.

 Old Business:

 Catherine noted that the arrival of the trust fund disbursement, the budget looks good again.  She reminded the Board of the Dept. of Justice Trustee Seminar on May 26 in Shelburne, NH. She has signed a contract with ByWater for the automation system. The total cost will be $5339.00, slightly less than the original $5,450.00 quote. This money will come out of the expendable trust fund and our regular checking account. Gay-Kimball will part of a consotrium with the Jaffrey and Fitzwilliam libraries. The new system should be ready in September. Catherine would like the Board to look at the mission statement. She feels its too wordy and vague. She'll send some samples via email for review for next meeting.

 New Business:

 New books will be shipped from the main vendor with covers on them at a cost of $.69 per book. This will enable new books to get onto the shelves quicker. The book sale will be held Friday-Saturday May 28-29. Catherine passed out NHLTA membership renewal forms to Evan and Kathy. Catherine will be a attending a  labor law training session on May 19 in Keene and the Book Expo of America at the Javits Center in New York May 25-27. She's been personally invited to meet John Sargent, CEO of MacMillan Publishing by Talia Sherer, Director of Library Marketing at MacMillan.

 The Trustees filled out new signature cards because the library's bank account numbers are changing as TD Bank has consolidated with another bank.

 There were no public comments. 

Next meeting will be held Thursday June 3 at 7pm
