Board of Trustees Meeting Minutes

June 3, 2010

 Members Present: Beth Richardson, Kathy Marrotte, Evan John;  Catherine Callegari, Librarian. 

Chairman of the Selectmen Russell Butler also attended.

 Minutes were approved as amended.

 Treasurer's Report: Checking: $9383.00; Memorial Fund: $35.00; Fines: $515.00; Petty Cash: $413.00.

Grand Total: $10,351.00

 Librarian's Report: Door Count: 1310 (1806); Circulation: 1662 (2000); Computer Usage: 181 (253); New Patrons: 6.

 Old Business:

 With the infusion of the trust find money, the library is back in good financial shape.

 Catherine attended the BEA Conference in NYC and made many contacts with vendors, publishers and authors. She sent home 45 pounds of books which she obtained at no charge.

 The book sale over Memorial Day weekend netted $640.50 on Friday and $348.00 on Saturday for a total of $988.50. The Board voted to move the date next year to the weekend after so that Catherine can still attend the BEA conference and have time to help prepare for the sale.  This will hopefully increase the number of volunteers able to assist in the sale.   Attendance might be better if the event is held on a non-holiday weekend.

 Catherine attended the Department of Labor trustee seminar and learned important information about how that department and the Department of Justice views library employees. Justice sees employees as library employees while Labor sees them as town employees because of workers compensation is offered to them through the town's policy. When Terry Knowles is in Troy, we will ask her to comment on this.

 The library has paid $4606.00 ($4000.00 from the expendable trust fund) for the installation/data migration process and hosting for the new automation system. The balance due of $733.00 for onsite training will be paid when training is finished. Catherine expects the system to be live in mid August.  All fiction, DVDs, picture books and new books have been reentered. Half of the nonfiction titles have been reentered. Catherine has been aggressively weeding out books during this process.  She'll be scheduling another cataloguing party soon.

 The Board voted to change the library mission statement to:  "The Gay-Kimball Public Library's mission is to meet the recreational and informational needs of the community in a creative, professional and welcoming manner.  The Library will offer diverse resources and provide a community meeting place for people of all ages."

 An 8 ½ x 11 single sheet flyer advertising the summer reading program events will be distributed in the Troy School by Beth.

 The Selectmen and Budget Committee have been invited to the Terry Knowles presentation at 5pm on June 22 at the Library.

 New Business:

 Catherine has purchased a new networked laser printer so the public access computer can now print again. 

 Russell Butler spoke about his commitment to supporting the library's mission and efforts. He said he will do his best to work through any issues that may arise based on misunderstandings or lack of knowledge.  The Trustees thanked him for his support and presence at the meeting.

 The next meeting will be held on Thursday July 8 at 7pm. There will be no August meeting.
